Getting started (Members)
Botville is a vertical social network for the AI industry—founders, builders, researchers, product teams, consultants, and enthusiasts. It combines BuddyPress communities (profiles, activity, groups, messaging) with GeoDirectory listings for AI Businesses, Services, Consultants, and Influencers.
Use it to discover vendors and experts, join topic groups, share launches, and connect with the AI ecosystem in one place.
- Visit /register/ and complete the sign-up form.
- Check your email and click the activation link (standard BuddyPress flow).
- Log in at /login/ and finish onboarding (profile basics, avatar, interests).
Tip: If registrations are invite-only, you’ll be prompted for an invite code during step 1.
Yes—core community features (profiles, groups, posting, messaging) are free. Optional paid listings and featured placements are available for businesses, services, consultants, and influencers via GeoDirectory plans.
- Edit profile: go to Profile » Edit (BuddyPress) to update bio, links, skills, avatar, and cover.
- Privacy & visibility: on the same page, each field usually has a visibility control (Everyone / Logged-in / Friends / Only Me).
- Account settings: manage email, password, and data options at Settings.
- Notifications: configure emails and on-site alerts under Settings » Notifications.
Note: URLs like /members/me/ resolve to your username when logged in.
- Open a group page (Discover » Groups or via search).
- Public group: click Join Group to join instantly.
- Private group: click Request Membership; admins/mods approve.
- Leave: from the same group page, use Leave Group.
Group visibility (public/private/hidden) is set by group admins (BuddyPress Groups).
- Text & links: post updates, questions, launch notes. URLs auto-embed when supported (YouTube, X/Twitter, etc.).
- Images: upload from the post box (subject to size limits).
- Files: if enabled, groups may support documents via an attachments/docs plugin (BP Docs or similar).
- Videos: paste a public link (YouTube/Vimeo) for auto-embed; direct video uploads depend on site limits.
Please follow group rules and avoid spam or self-promotion unless allowed by the group.
BuddyPress sends on-site and email notifications for mentions, replies, messages, group invites, and follows.
- Visit Notifications to view recent alerts.
- Go to Settings » Notifications to enable/disable specific email notices.
- Many groups also have per-group email settings (Digest/All/None) via the group’s Email Options.
- Listings (GeoDirectory): open any listing and use Favorite/Bookmark to save it. Access saved items from your profile or listing dashboard.
- Members (BuddyPress): if the BP Follow component is enabled, click Follow on a member’s profile to see their updates in your activity stream.
- Groups/Topics: join groups or subscribe to topic threads to receive updates.
Tip: Use search filters (category, tags, region) to find relevant profiles faster.
- Private Messages (BuddyPress): click Message on a member’s profile to start a direct message.
- Listing contact: many GeoDirectory listings include a Contact form, email, or website link. Prefer on-site forms/DMs for safety and tracking.
- Safety: never share passwords, recovery codes, or payment details in DMs. Verify identities via official domains and LinkedIn/company pages.
Report suspicious activity via the Report link or Support.
- Use the Report link near the post/comment/profile if available; include a brief reason.
- Or visit /contact/ and provide the profile URL, group URL, or listing link plus screenshots.
- For urgent issues (impersonation, doxxing), also block the user (if enabled) and email [email protected].
Our team reviews reports, may request additional info, and can remove content, restrict accounts, or escalate when necessary.
Groups (Creators & Moderators)
Site admins can allow any logged-in member (or restrict to specific roles) to create groups.
Create a group:
- Go to Groups → Create a Group.
- Name it, add a description and cover image.
- Choose privacy (Public, Private, or Hidden).
- Finish the steps (avatar, invites, settings).
Notes: All steps use BuddyPress Groups; visibility of the “Create” button depends on admin settings.
- Public: Anyone can see content and join; appears in search and directories.
- Private: Listed publicly, but content is hidden; members join by request or invite.
- Hidden (if enabled): Not listed; only members can see it; joining is by invite only.
Post concise Rules/Guidelines in the group description and pin a “Read First” post. Suggested defaults:
- Stay on topic; be specific and cite sources.
- No spam, mass-DMs, or AI-generated reviews presented as facts.
- Be respectful; no harassment or doxxing.
- Disclose affiliations and sponsorships.
- Use clear titles and tags to aid search.
Review rules quarterly and link to site-wide Terms.
Group Admins can manage roles via Group → Manage → Members:
- Promote a member to Moderator (edit content, approve requests).
- Promote to Admin (full control of settings, roles, appearance).
- Demote or remove members from the same screen.
Yes. Set the group to Private (or Hidden) so join requests require approval.
To collect join questions, add a short questionnaire using your theme/add-on’s group request fields, or link to a simple form; approve based on responses.
BuddyPress handles approvals; custom questions may require an add-on or custom fields.
- Pin/Feature: If your theme/add-on supports featured activity, mark an “Read First” post as Featured. Otherwise, place key info in the group description.
- Tags/Topics: Encourage #hashtags in posts; members can search by hashtag.
- If forums are enabled via bbPress, create sticky topics for FAQs/resources.
Keep a short “How to post” note in the group header.
Use the post’s ••• menu → Remove/Report (where available) and message the member with a rules reminder.
- For repeat issues: mute, kick, or ban via Manage → Members.
- Reduce spam by requiring group membership for posting and limiting link-only posts.
- Enable first-post moderation for new members (via add-on) if needed.
Export: WordPress Tools → Export can export standard post types; BuddyPress activity exports may require an add-on. Site admins can provide data exports on request.
Archive: Switch the group to Read-only (close posting) and set Private/Hidden to preserve history while preventing new posts. Link to a replacement group if discussion continues.
Listings (AI Businesses, Services, Influencers, Consultants)
Botville supports four listing types, each with its own goals and fields:
- AI Businesses: Product companies, platforms, and tools. Best for showcasing products, demos, pricing, and updates.
- AI Services: Agencies, solution integrators, and service providers. Emphasize packages, outcomes, and case studies.
- AI Influencers: Creators, publishers, and community leaders. Highlight channels, audience stats, and sponsorship options.
- AI Consultants: Independent experts or small firms. Focus on expertise, domains, testimonials, and booking links.
All four use GeoDirectory listing types so they can be searched, filtered, and mapped consistently across Botville.
- Log in (or create an account) and go to Add Listing from the main menu.
- Choose the correct listing type (Business, Service, Influencer, or Consultant).
- Complete the required fields (name, description, website), then add categories, tags, and region.
- Upload your logo/cover and add media (screenshots, video, PDFs) if relevant.
- Submit for review. You can track status under My Account → My Listings.
Powered by GeoDirectory. Availability of fields (e.g., coupons, external links) depends on your plan and current feature set.
Follow these best practices for discovery within Botville search and external SEO:
- Clear value prop in first 160 chars: Who it’s for + outcome.
- Specific categories & tags: Use precise industry and capability terms (e.g., “RAG,” “Edge AI,” “RevOps,” “Medical Imaging”).
- Regions & service areas: Select your primary market(s) to appear in local filters.
- Structured proof: Add 2–3 case studies, metrics, recognizable clients (if permitted).
- Media: Logo, cover image, product screenshots, short demo video.

Botville search prioritizes completeness, relevance, freshness, and verified status.
Verification confirms authenticity and improves trust and visibility.
- Requirements (typical): Official domain email or ownership proof, active website/portfolio, and consistent brand presence.
- Evidence: Company registration (where applicable), LinkedIn/official socials, and proof for key claims (e.g., “Fortune 500 clients,” “PhD”).
- Process: Submit your listing → provide requested docs → manual review by Botville team.
Approved listings receive a Verified badge and may get priority in category pages and search.
- Verified: Identity/credentials checked; meets quality baseline. Eligible for referrals and standard search placement.
- Spotlight (Featured): Elevated visibility at the top of relevant categories and searches; may include external link placement and newsletter inclusion.
- VIP: Highest trust and visibility tier. Includes Spotlight benefits plus priority placements, special programs, and price lock (where offered).
Badges appear on cards, listings, and search results to signal trust and prominence.
These fields power filters, relevance, and local results:
- Categories: High-level placement—choose the most accurate category for your offering.
- Tags: Specific capabilities, tech stack, use cases, and industries (5–12 focused tags typically perform best).
- Regions: Where you serve customers. Helps appear in local searches and regional roundups.
Use precise, user-intent terms (e.g., “fine-tuning,” “genAI safety,” “e-commerce CRO”) rather than broad generic tags.
Yes—eligible plans support Coupons/Deals fields in your listing:
- Add coupon codes, % off, or partner offers with start/end dates.
- Optional: mark as Exclusive for Botville members where supported.
- Influencers/Consultants can link affiliate offers (disclosure required); Businesses/Services can create partner perks.
Coupons and offers are powered by GeoDirectory custom fields. Availability may vary by plan and review policy.
You control your listing via your account dashboard:
- Go to My Account → My Listings.
- Click Edit to update content, media, categories, tags, or region.
- Click Update to save changes (some edits may re-enter review).
- To remove or temporarily hide, choose Unpublish (if enabled) or request removal via Support.
If you change domains or ownership, contact Support to transfer verification and preserve history.
Search: Discover, Browse, Connect
Discover, Browse, and Connect serve different discovery needs:
- Discover: Community-created topical groups (like Facebook Groups) where members post, discuss, and curate resources.
- Browse: Directory navigation for AI Businesses, AI Services, AI Influencers, and AI Consultants using GeoDirectory categories.
- Connect: Global search across companies, services, consultants, and influencers—ideal for keyword + filter lookups.
Tip: Start with Discover for trends/community, Browse to scan a category, and Connect when you know what you need.
Use the GeoDirectory filters on directory/search pages:
- Category: Pick the most relevant listing category (e.g., “MLOps,” “Prompt Tools,” “Consulting”).
- Location/Map: Enter a city/region and (where available) adjust the radius or use the map to refine.
- Tags: Add capability or use-case tags (e.g., “RAG,” “fine-tuning,” “governance”).
Note: Filters vary by listing type and your site’s current GeoDirectory settings.
Keywords help both on-site search and external SEO. Best practices:
- Be specific: Prefer “retrieval-augmented generation” over generic “AI platform.”
- Mirror buyer intent: Include industry + task (e.g., “healthcare NLP de-identification,” “e-commerce CRO”).
- Use structured fields: Put core terms in title, first 160 chars of description, and tags.
- Stay current: Update listings as offerings evolve; freshness boosts discovery.
Within Botville: GeoDirectory relies on titles, categories, tags, and descriptions—complete profiles rank and filter better.
Saving searches isn’t enabled by default in core GeoDirectory, but you have options:
- Follow topics via Discover: Join relevant BuddyPress groups to get updates in your activity feed and email (if enabled).
- Bookmark filtered URLs: Run a search (category/tags/location) and bookmark the results page in your browser for quick return.
- Favorites/Watchlists (if available): Some sites enable “Favorites” for listings—use the heart/save icon on a listing to track it.
- Notifications: Check Profile → Settings → Email (BuddyPress) to manage group and mention notifications.
If you need true saved searches with alerts, contact Support—this can be enabled with add-ons.
Reviews, Ratings & Trust
Any logged-in member can review eligible listings (AI businesses, services, consultants, and influencers).
- What’s required: star rating, short title, and a helpful comment (min. 50–75 chars).
- Optional proof: link or screenshot of usage (orders, public work, demo).
- Conflicts: disclose any affiliation; paid/comped relationships must be stated.
Start from a listing page » Reviews tab » Add Review. Need an account? Create one.
- Account checks: minimum account age, verified email, rate limits.
- Technical signals: IP/device fingerprinting, duplicate detection, link spam filters.
- Policy rules: no incentivized or mutual “review swaps.” Violations are removed.
- Moderation: automated screening + human review for flagged submissions.
- Transparency: disclose relationships; undisclosed paid reviews are banned.

Listing owners can reply publicly and manage reviews from My Listings » Reviews.
- Respond: post a courteous, factual reply; mark issues as resolved when applicable.
- Dispute: click Report on the review and provide evidence (screenshots, invoices, links). Our team evaluates within 1–3 business days.
- Outcomes: keep, edit (rare), or remove if policy is clearly violated. We don’t remove opinions just for being negative.

- Step 1 – Warning: we notify the owner and request fixes (e.g., misleading claims, undisclosed incentives).
- Step 2 – Limits: badge removal (Verified/Spotlight/VIP), search demotion, or review lock.
- Step 3 – Suspension/Removal: listing disabled or deleted for repeated or severe violations.
- Recordkeeping: we retain moderation logs per our Privacy Policy.

Monetization & Promotions
Yes. Botville offers two optional upgrades for listings (via GeoDirectory):
- Spotlight: Priority category/search placement, “Spotlight” badge, and promotional eligibility on select pages/newsletters.
- VIP: All Spotlight perks plus the VIP badge, enhanced visibility modules, and periodic feature opportunities.
Upgrade from your listing dashboard or the Pricing page. Badges display on cards and detail pages after payment and moderation.
Featured tiers influence placement, not relevance fields:
- Baseline sort: GeoDirectory uses relevance (title/description keywords), category, tags, location, freshness.
- Spotlight/VIP boost: Your listing is surfaced higher within its category and related searches and can appear in featured widgets.
- Quality still matters: Clear titles, specific tags, and accurate regions improve on-site search and filters regardless of tier.
Note: Moderation and anti-spam rules apply equally to all tiers.
Yes. Botville runs an affiliate/partner program for eligible companies and creators.
- How it works: Apply on the Partner Signup page. Approved partners receive tracking links and a dashboard to view referrals.
- Payouts: Commissions are issued on qualified purchases after refund windows (see program terms).
- Co-promo options: Some partners may receive Spotlight credits or placement in roundups (subject to editorial review).
Tip: Use UTM parameters on links and list clear offers/coupons on your Botville listing to improve conversions.
Yes. You have a few options depending on your content and tier:
- Directory Events (if enabled): Create an event via your dashboard (title, date/time, location/URL, category, tags). Request Featured Event if available.
- Group announcements: Post in relevant Discover groups (BuddyPress). Pin posts if you’re a group admin and follow group rules.
- Spotlight/VIP: Eligible listings may be included in curated “What’s New” blocks or newsletters (editorial discretion).
Best practices: Add a short value-led title, clear CTA link, timezone, and recording/slide links. Use tags (e.g., “webinar,” “launch,” “workshop”) for discovery.
Analytics & Insights
You can measure conversions that start on your Botville listing and finish on your site by using:
- UTM-tagged CTAs: Add
?utm_source=botville&utm_medium=listing&utm_campaign=profileto your “Visit website” / “Book demo” links. This lets Analytics attribute traffic and conversions to Botville. - GA4 event goals: Track what counts as a conversion (e.g., signup, purchase, form submit) on your site and attribute those to the UTM campaign.
- Thank-you pages: Set a GA4 conversion for your thank-you URL (e.g.,
/thank-you) so any Botville-sourced traffic that completes the flow is captured. - On-site click stats (optional): If your GeoDirectory plan adds outbound click reporting, you can view listing-level clicks from the WordPress dashboard.
Tip: Use a distinct utm_campaign per placement (e.g., profile, spotlight, vip, newsletter) to compare performance.
Yes. Use UTMs on all links leaving your Botville assets and configure GA4 on your own site:
- Add UTMs to your listing links:

Account, Billing & Compliance
Botville plans cover community access (free) and optional paid GeoDirectory listings for visibility:
- Verified (annual): base listing with verification.
- Featured/Spotlight (monthly, billed quarterly): priority placement + link perks.
- VIP (annual): top placement, badges, and extras.
Exact pricing and billing cadence are shown on /pricing/ and at checkout. Community features (profiles, groups, DMs) remain free.
- Change plans: Go to Account » Subscriptions (your billing portal) and select Upgrade/Downgrade. Changes take effect at the next billing period unless otherwise stated at checkout.
- Cancel: From the same page, choose Cancel. Your listing stays active until the end of the current paid term.
- Refunds: As a general policy, we don’t issue mid-term refunds once a billing period begins. If there’s a duplicate charge or technical error, contact Support and we’ll review promptly.
Tip: You can also pause/disable a listing without deleting it by toggling visibility in your listing dashboard.
- Invoices & receipts: Emailed automatically after purchase and available anytime in Account » Orders.
- W-9 (US): We can provide a current W-9 upon request for sponsors or finance teams. Please open a ticket via Support.
- 1099 (US): If we pay you (e.g., affiliates/partners) and you meet IRS thresholds, we’ll request a W-9 and issue a 1099 as required.
Need your company details (VAT/GST, PO number) on the invoice? Add them at checkout or update your billing profile before renewing.
We periodically offer Early Adopter coupons and promotional pricing. Limited discounts may be available for startups, students, and nonprofits on a case-by-case basis.

- For program consideration, contact Support with proof of status (e.g., .edu, 501(c)(3), accelerator letter).
Note: Discounts usually apply to future terms and can’t be stacked with other promotions unless stated.
Policies, Safety & Data
To keep Botville useful and safe, we prohibit:
- Spam or mass promotion: repetitive posts, link dumps, unsolicited DMs, fake reviews.
- Impersonation or false claims: pretending to be another person/brand, fabricated credentials or logos.
- Deceptive offers: undisclosed affiliate links, pyramid schemes, malware, scraped testimonials.
- Illegal or harmful content: hate speech, harassment, doxxing, explicit content, exploits.
- Misleading AI claims: unverifiable metrics (e.g., “10× accuracy” without evidence), fabricated case studies.

Report it: Use the ⋯ → Report menu on posts/listings or email [email protected] with links/screenshots.
Review flow:
- Trust & Safety reviews the report and the account’s history.
- We may unpublish the content/listing while verifying.
- We request evidence (e.g., domain ownership, gov’t ID, employer email) when needed.
- Outcomes: edit notice, warning, unpublish, or account suspension for repeat/egregious behavior.
Tip: Verified profiles (via our checks) receive a badge to help members identify authentic businesses and people.
Botville runs on WordPress with BuddyPress (profiles/groups) and GeoDirectory (listings). We store profile fields, group memberships, posts, messages, and listing data on our secure hosting provider.
- Use: to operate your account, power search/discovery, and send opted-in notifications.
- Storage: in our WordPress database; media in the site’s uploads storage; backups are encrypted and time-limited.
- Sharing: we don’t sell personal data. Limited processors (e.g., email delivery, analytics, payment) are under DPA agreements.
- Security: TLS in transit, role-based admin access, plugin/app updates, and routine audits.

Yes. You can request a copy of your data or deletion of your account data.
- Export request: Email [email protected] from your account email with the subject “Data Export.” We’ll verify ownership and provide a machine-readable export (WordPress/BuddyPress/GeoDirectory data).
- Deletion request: Email [email protected] with the subject “Data Deletion.” We’ll remove personal data unless we must retain some records for legal, billing, fraud prevention, or abuse investigations.
- Self-service: You can also delete posts, comments, messages, and listings from your dashboard where available.
We respond to verified requests within applicable timelines (GDPR/CCPA). See Privacy Policy for scope and exceptions.
Verification helps users trust who they’re engaging with. Our checks vary by profile type:
- Individuals (influencers/consultants): government ID or employer email verification, matching name/handle; links to established socials; recent activity that aligns with claims.
- Businesses/services: domain ownership (DNS/email), corporate email, public registry lookup (where available), and website consistency (team, address, contact).
- Credentials/claims: we may request evidence (e.g., degree, certification, case study contact) for statements like “Fortune 500 clients,” “PhD,” or “ISO-certified.”
Badge outcomes: Verified (identity checked), Spotlight (paid/featured placement), VIP (top-tier placement + vetting). Misuse or misrepresentation can result in badge removal or account action.

Technical & Support
Botville supports all modern, evergreen browsers:
- Desktop: Latest Chrome, Safari, Firefox, Edge.
- Mobile: iOS Safari / Chrome, Android Chrome.
- Screen sizes: Responsive layouts down to ~320px width. If something looks off, try a hard refresh (Ctrl/Cmd+Shift+R).
Note: Internet Explorer and very old browser versions are not supported.
We don’t have a native app yet, but the site works great on mobile and can be installed like an app:
- iOS Safari: Tap Share → Add to Home Screen.
- Android Chrome: Tap ⋮ → Add to Home screen.
This creates a full-screen, app-like shortcut (PWA style) for quick access to groups, profiles, and listings.
Images
- Use common formats (.jpg, .png, .webp) and keep files under ~1–2 MB for fast loads.
- Recommended sizes: covers ~1600×900, avatars 512×512. WordPress will auto-generate responsive sizes.
- If images overflow, edit the post/page and ensure the image block is set to “Full width” or “Content width” (not fixed pixels), or add
style="max-width:100%;height:auto;"to custom HTML images.
Links
- Use the editor’s link tool and enable “Open in new tab” for external sites.
- For rich embeds (YouTube, X/Twitter, etc.), paste the URL on its own line to use WordPress oEmbed.
Formatting
- BuddyPress activity and group posts allow basic formatting; long-form pages can use the WordPress editor for headings, lists, and embeds.
- If pasted text looks odd, paste as plain text or clear formatting and re-apply styles.
If a specific post or listing still looks wrong, share the link with support and note your device + browser.
APIs & data: We don’t offer a public REST API yet. For integrations, common options include:
- Calendars: Add event links or .ics URLs in listings/groups; members can subscribe in Google/Apple/Outlook.
- CRMs & UTMs: Use UTM parameters on your outbound links/forms. Capture in your CRM via your site or form provider.
- Discord/Slack: Share invite links in your profile or group sidebar. For announcements, use a webhook/automation tool (e.g., Zapier, Make) to post new content to your channels.
- RSS/Email: WordPress RSS feeds can power alerts or newsletters; many email tools can ingest RSS automatically.

For Sponsors & Partners
We offer three primary sponsorship surfaces:
- On-site (Botville.com): Category & search page placements, directory module “Featured” slots, sponsored posts, and sidebar units. Runs on a monthly flight or guaranteed-impression basis.
- Newsletter: Top banner, mid-feature module, or exclusive issue takeover. Creatives can be image + copy or simple text CTAs. All links can use your UTM parameters.
- Groups (BuddyPress): Pinned sponsor posts, AMA/Q&A sessions, and event threads. Optional co-hosted content (e.g., how-to, case study) with “Sponsored” label.
Typical flow: share goals → select placement(s) → we confirm dates, specs, and tracking → you provide creatives → we launch and report weekly.
Targeting (site & groups):
- By listing taxonomy: AI Businesses, Services, Consultants, Influencers (GeoDirectory categories & tags).
- By topic: “Discover” collections (curated groups/threads) and keyword-matched content.
- By region: Country/City via GeoDirectory location filters.
- By member context: Group membership, post type (jobs, launches, events).
Metrics we provide:
- Site: impressions, clicks, CTR, top pages, and UTM-based outbound click stats.
- Newsletter: delivered, opens, unique opens, clicks, unique clicks, CTR.
- Groups: post reach, reactions, comments, link clicks.
Attribution: Add utm_source=botville (plus medium/campaign) to your links. If you use GA4, we’ll align reporting windows.
- Promo codes: Yes—include unique codes in creatives or your listing. We can feature them in “Coupons” blocks.
- Lead forms: Yes—embed Contact Form 7 / Gravity Forms on a WordPress landing page, or link to your hosted form. We’ll drive traffic and you own submissions.
